Welcome to Bulverde Lodge. These Terms & Conditions govern your use of our website, reservations, accommodations, communications, and related services.
By accessing our website, making a reservation, submitting an inquiry, or using our services, you agree to these Terms & Conditions and any additional policies or terms presented during the reservation process.
1. Reservations
All reservations are subject to availability and confirmation.
Guests are responsible for providing accurate information when making a reservation, including name, contact information, number of guests, dates of stay, and any other information requested during booking.
A reservation is not considered confirmed until the applicable booking requirements have been completed and confirmation has been issued.
Additional terms, restrictions, cancellation policies, deposits, and payment requirements may be presented during the booking process and become part of your reservation agreement.
2. Rates and Payments
Rates are displayed in U.S. dollars unless otherwise stated.
Rates may vary based on accommodation, dates, length of stay, occupancy, availability, events, promotions, or other factors.
Applicable taxes, cleaning fees, service fees, deposits, and other charges will be disclosed during the reservation process when applicable.
Guests authorize the applicable charges associated with their reservation according to the payment terms presented at booking.
3. Cancellations, Changes and Refunds
Cancellation, modification, and refund policies may vary depending on the accommodation, rate, promotion, reservation dates, or booking channel.
The cancellation policy presented and accepted at the time of booking applies to your reservation.
Guests should review their reservation confirmation carefully and contact Bulverde Lodge promptly if changes are needed.
Failure to arrive, early departure, or cancellation outside the permitted cancellation period may result in partial or full forfeiture of amounts paid, subject to the terms of the reservation.
4. Check-In and Check-Out
Guests must comply with the check-in and check-out times provided with their reservation.
Early check-in or late check-out is not guaranteed and must be approved in advance when available.
Additional charges may apply for unauthorized late departures or other circumstances that interfere with preparation of the accommodation for subsequent guests.
5. Occupancy
The number of overnight guests may not exceed the maximum occupancy established for the reserved accommodation unless Bulverde Lodge provides prior written approval.
Guests are responsible for accurately reporting the number of people included in their reservation.
Unauthorized guests or occupancy beyond the permitted limit may result in additional charges or termination of the stay.
6. Guest Conduct
Guests are expected to respect the property, neighboring businesses, local residents, other guests, and the surrounding community.
Excessive noise, disruptive behavior, illegal activity, dangerous conduct, or activity that damages the property or interferes with others may result in termination of the reservation without refund where permitted by law.
The person making the reservation is responsible for the conduct of their guests and visitors.
7. Property Rules
Guests agree to follow all property and accommodation rules communicated before or during their stay.
Rules may address matters including:
- Parking
- Smoking
- Pets
- Noise
- Visitors
- Maximum occupancy
- Use of common areas
- Pools and outdoor amenities
- Grills and fire-related equipment
- Events and gatherings
- Check-in and check-out procedures
- Safety requirements
Property-specific rules displayed during booking or provided in reservation communications are incorporated into these Terms & Conditions.
8. Damage and Additional Charges
Guests are responsible for damage caused by themselves, members of their party, visitors, or pets during their reservation, except for ordinary wear and tear.
Guests may be charged for damages, missing property, excessive cleaning, unauthorized smoking, unauthorized pets, violations of occupancy restrictions, or other costs resulting from failure to comply with property rules, subject to applicable law and the terms presented during booking.
Guests should promptly report accidental damage or maintenance issues.
9. Events, Parties and Gatherings
A standard overnight reservation does not automatically authorize an event, party, reception, meeting, or gathering beyond the permitted occupancy or visitor limits.
Events and organized gatherings may require prior approval, separate fees, additional agreements, deposits, insurance, or other requirements.
Guests planning a wedding-related gathering, family reunion, corporate event, celebration, or other organized gathering should contact Bulverde Lodge before booking or hosting the event.
Unauthorized events may result in additional charges or termination of the reservation.
10. Group Reservations
Group accommodations, multiple-room reservations, wedding party accommodations, corporate stays, family gatherings, and whole-lodge reservations may be subject to additional terms or agreements.
The individual or organization arranging the reservation may be responsible for complying with payment schedules, occupancy requirements, cancellation terms, and property rules applicable to the group.
11. Children and Minors
Children and minors must be appropriately supervised by a responsible adult.
Parents, guardians, and responsible adults are responsible for the safety and conduct of minors included in their reservation or visiting the property.
12. Pets
Pet policies may vary by accommodation.
Guests must review the pet policy associated with their specific accommodation before booking.
Where pets are permitted, additional rules, restrictions, or fees may apply. Bringing a pet into an accommodation where pets are prohibited may result in additional charges.
Service animals will be accommodated as required by applicable law.
13. Smoking
Smoking policies are established for the protection and comfort of guests and the property.
Guests must comply with all posted or communicated smoking restrictions. Unauthorized smoking inside a non-smoking accommodation may result in additional cleaning, deodorizing, repair, or other applicable charges.
14. Amenities and Property Availability
We make reasonable efforts to maintain advertised amenities and services.
Occasionally, an amenity may become unavailable because of maintenance, weather, safety concerns, utility interruptions, circumstances beyond our control, or other operational needs.
Photos, descriptions, furnishings, amenities, and property features are provided to help guests understand the accommodations but may change over time.
15. Outdoor Areas and Recreational Amenities
Use of outdoor areas, pools, grills, fire pits, recreational features, and other amenities involves inherent risks.
Guests are responsible for using amenities safely, following posted rules and instructions, appropriately supervising children, and exercising reasonable care.
Guests should not use an amenity if conditions appear unsafe and should notify Bulverde Lodge of any safety concern.
16. Personal Property
Guests are responsible for securing their personal belongings.
To the extent permitted by law, Bulverde Lodge is not responsible for lost, stolen, misplaced, or damaged personal property except where liability cannot legally be excluded.
Guests should contact us promptly regarding items believed to have been left behind.
17. Parking and Vehicles
Guests must park only in authorized areas and comply with parking instructions provided by Bulverde Lodge.
Vehicles and personal property left inside vehicles remain the responsibility of the vehicle owner or guest.
18. Website Use
The Bulverde Lodge website is provided for informational, reservation, and communication purposes.
You agree not to use the website for unlawful purposes, attempt to interfere with its operation or security, submit false or fraudulent information, or misuse website content or functionality.
19. Website Information
We make reasonable efforts to provide accurate information regarding accommodations, rates, amenities, availability, policies, and local information.
However, occasional errors, omissions, outdated information, or technical issues may occur.
We reserve the right to correct errors and update website information when appropriate, subject to applicable law and confirmed reservation agreements.
20. Third-Party Services
Our website and reservation process may use or link to third-party services, including reservation platforms, payment processors, maps, analytics services, communication providers, and other technology providers.
Use of third-party services may also be governed by the terms and privacy policies of those providers.
Bulverde Lodge is not responsible for the content or practices of independent third-party websites or services.
21. Email Communications
By providing your email address in connection with a reservation or inquiry, you agree that Bulverde Lodge may send transactional or service-related communications concerning your request, reservation, stay, or account.
If you separately subscribe to marketing emails, we may send promotional communications, special offers, property news, availability information, events, and other marketing content.
You may unsubscribe from marketing emails at any time using the unsubscribe link included in those communications.
Unsubscribing from marketing emails does not prevent us from sending necessary transactional or reservation-related communications.
22. SMS/Text Messaging Terms
If you expressly opt in to receive marketing text messages from Bulverde Lodge, you consent to receive SMS/text messages at the mobile number you provided.
Messages may include promotions, special offers, availability, property updates, events, and other marketing communications.
Consent to receive marketing text messages is not a condition of making a purchase or reservation.
Message frequency may vary. Message and data rates may apply.
Reply STOP to opt out of marketing text messages. Reply HELP for assistance.
Your mobile carrier is not responsible for delayed or undelivered messages.
We may send non-marketing communications related to services you requested or an existing reservation when permitted by law.

23. Intellectual Property
Unless otherwise stated, website content including text, graphics, branding, logos, photographs, videos, and other materials is owned by or licensed to Bulverde Lodge and is protected by applicable intellectual property laws.

25. Limitation of Liability
To the fullest extent permitted by applicable law, Bulverde Lodge will not be liable for indirect, incidental, special, consequential, or punitive damages arising from use of the website, accommodations, amenities, or services.
Nothing in these Terms & Conditions excludes or limits liability that cannot lawfully be excluded or limited.
26. Circumstances Beyond Our Control
Bulverde Lodge will not be responsible for delays, interruptions, cancellations, or inability to provide services caused by circumstances reasonably beyond our control, including severe weather, natural disasters, government actions, utility interruptions, public emergencies, or other extraordinary events.
Any refunds, credits, or reservation modifications resulting from such circumstances will be determined according to applicable law and the terms of the reservation.
27. Governing Law
These Terms & Conditions are governed by the laws of the State of Texas, without regard to conflict-of-law principles.
Any dispute relating to these Terms & Conditions, the website, or services provided by Bulverde Lodge will be handled in accordance with applicable law and any dispute-resolution provisions separately agreed to by the parties.
28. Changes to These Terms
Bulverde Lodge may update these Terms & Conditions periodically.
Changes will be posted on this website with an updated "Last Updated" date. The terms applicable to an existing reservation will be determined by the agreement and policies associated with that reservation.
